Description of 123 Toolkit for Google Groups

When to use it

The Google SpreadsheetTM add-on will get the Google Groups of the domain and list all settings and members of those Groups. You need to be a Google admin to utilize the add-on.

Use the Google Spreadsheet™ add-on '123 Toolkit for Google Groups' to get a list of all your Google Groups, Group settings and Group members from the Google Directory into your Google Spreadsheet™. The add-on ensures that you have a list in the spreadsheet that you can sort / compare or filter device data when you need so. You can also perform (bulk) actions on the domain contact profiles.

Use cases

The Spreadsheet extension is created with the following use cases in mind.

  • Reporting; Report the Google Groups in the domain, the members and the settings.

  • Analyze; Analyze Group settings to ensure proper configuration for intended use.

  • Clean up; Remove Google Groups which don't have members anymore.

To support the use cases a sheet called ‘Analysis’ is created.

How it works

The Google Spreadsheet™ add on '123 Toolkit for Google Groups facilitates the (one way) sync of Google Groups and Google Groups settings to a spreadsheet in 3 steps:

  1. List all groups in your domain

  2. List all group settings and/or members

  3. Schedule options

View the result in your Google Spreadsheet, optional share the spreadsheet to others.

Main features

For the Google Group you have several options:

  1. Filter Google Groups by naming convention.

  2. Update Google Group settings.

  3. Open Google Group to change members.

1 - List Google Groups

Click the button 'List Groups' to get a list of all Google Groups from the Google Directory into your spreadsheet. You need to be a Google Super administrator in your Google domain.


Note, the add-on will by default only get the Google Groups of the Google domain of your Google account. Via the Set domains button you can specify other secondary domains.

2-List Members and Settings

  • You can get a list of all Google Group members

  • You can get a list of all Google Group settings

3-Scheduling & Insights

Schedule the app, to keep your lists up to date by scheduling the add-on.


Add the sheet 'Insights' to get a dashboard on your Google Groups.

  • Groups without owner/manager

  • Groups without members

  • short names

  • Settings combination that make no sense

Requirements

  • You should be a Google Workspace super administrator in the Google domain.

Installation

How to add the Google Workspace extension '123 Toolkit for Google Groups' to your spreadsheet?

Option 1: Installation from the spreadsheet

  1. Start a new Google Spreadsheet in Google Drive. (https://sheets.new)

  2. In the top menu bar of the Google Spreadsheet select Extensions.

  3. Click in the menu “Add-ons” and “ Get add-ons”.

  4. A new pop-up window will show the Google Workspace marketplace.

  5. Search for “123 Toolkit for Google Groups”.

  6. Click the button “Individual Install”.

Option 2: Installation from the Google Workspace marketplace

Go to the Google Workspace marketplace: https://workspace.google.com/marketplace

  1. Search for “123 Toolkit for Google Groups

  2. Click the button “Individual Install

  3. Go to Google Drive and start a new Google spreadsheet (https://sheets.new)

  4. You find the add-on In the top menu bar of the Google Spreadsheet 'Extension'.
